Reservation Deposit and Payment

At YamaYado Hub, we ask that you register a credit card when making a reservation.
At the time of booking, we secure the available credit for the full accommodation amount, but no actual charge is made at that time.
The reservation deposit system applies when you cancel, and it is not a system in which only the reservation deposit is charged in advance at the time of booking.
If you stay as booked, the total accommodation amount will be charged after your stay. If you cancel, only the reservation deposit will be charged according to the applicable rules.

Depending on your card issuer, the full accommodation amount may appear in your usage notification or card statement immediately after booking.
However, no actual charge is made at that time, and the total amount will be charged after your stay.

About the Reservation Deposit System

The reservation deposit system takes effect from 30 days before the stay date and applies when you cancel.
It is not a system in which only the reservation deposit is charged in advance at the time of booking.
However, even if the booking is made within 30 days before the stay date, the reservation deposit will not apply if you cancel within 1 hour after booking.
In addition, after the reservation deposit has taken effect, the deposit can be carried over if you change your date to another date in the current season for the same mountain hut.
If you stay as booked, the reservation deposit will not become an additional charge and will be treated as part of the accommodation fee.

Reservation Deposit Amount

  • Mountain hut stay: JPY 3,000 per adult per night
  • Tent stay: JPY 500 per adult per night
  • Children and infants: JPY 0

When the Reservation Deposit Applies

What Happens After Booking

As shown in the chart above, the reservation deposit applies to a regular cancellation only when both of the following conditions are met:

  • More than 1 hour has passed since the booking was completed
  • The cancellation is made on or after 30 days before the stay date

If you cancel within 1 hour after booking, the reservation deposit does not apply.
It also does not apply if you cancel 31 days or more before the stay date.

If you would like to change your date, meal plan, room type, or similar details before the reservation deposit takes effect, please make a new booking with your preferred details.
The number of lunch boxes and your climbing route can always be changed from My Page.

If you would like to make any of the following changes before the reservation deposit takes effect, please contact us via the contact form.

  • If you would like to reduce the number of guests
  • If the room is fully booked and you cannot make a new reservation for the change you want

After the reservation deposit takes effect, you can change your reservation from My Page under the following conditions.
You can change the meal plan, room type, number of guests, and date.
However, changes may not be possible depending on room availability.

  • Changes are limited to reservations at the same mountain hut
  • Changes to a stay date from the following day onward can be made until 3:00 PM on the day of stay
  • You may change your reservation up to 10 times
  • Changes are available only within the same season and subject to the specified conditions

Changes on the Day of Stay

Changes to the meal plan or room type for the day of stay can no longer be made from My Page once same-day booking reception has closed for each mountain hut.
The closing time for same-day booking reception varies by mountain hut, but is generally around 8:00 AM to 10:00 AM.
Changes to a stay date from the following day onward can be made until 3:00 PM on the day of stay, provided that rooms are available.

Cancellations

For a regular cancellation, only the reservation deposit will be charged depending on the conditions.
Please note that the reservation deposit is non-refundable regardless of the reason, including bad weather or illness.

  • Regular cancellation: only the reservation deposit applies, depending on the conditions
  • Cancellation after 3:00 PM on the day of stay: 100% of the accommodation fee
  • No-show: 100% of the accommodation fee

If you stay as booked, the reservation deposit will not be charged separately.
It is treated as part of the accommodation fee.

At the time of booking, we secure the available credit for the full accommodation amount, so depending on your card issuer, the amount may appear immediately after booking.
However, no actual charge is made at that time, and the total amount will be charged after your stay.

Isn’t only the reservation deposit supposed to be paid in advance?

The reservation deposit system applies when you cancel.
It is separate from the card processing at the time of booking, and no reservation deposit is charged at the time of booking.

Will the full accommodation amount be charged right away?

With a standard credit card, no actual charge is made at the time of booking.
Depending on your card issuer, the full accommodation amount may appear, but this is only to secure the available credit.
The total amount will be charged after your stay.

  • As a general rule, we ask that reservations be made online with a registered credit card
  • For private groups of 10 or more, if it is difficult for the representative to pay with a single credit card, please contact us for individual consultation
  • For corporate or school groups that require payment by invoice, please also contact us for individual consultation
  • After reviewing your request, we will provide guidance on advance bank transfer or invoice-based payment options
  • Please note that for individually arranged bookings, the methods and conditions for changes, cancellations, and applicable fees may differ from standard online reservations
